1. Job Function
The Customer Service Representative is responsible for the administration of the Front Office and receiving patients/ clients. All activities must conform to organizational guidelines and standards and to all legal requirements.
2. Principal Duties and Responsibilities
1. Receives patients/ clients and responds appropriately to queries and requests and assists in the completion of required forms
2. Performs general administrative duties including but not limited to:
• Requisitions relevant files
• Files all relevant patient/client information in the respective files
• Retrieves files based on requests
• Compiles, verifies and types medical records
• Translates doctors’ dictations of patient care and treatment into comprehensive typed records
3. Refers complaints regarding billing or service to the Customer Service Representative Supervisor
4. Handles incoming and outgoing calls and correspondence according to company’s standards
5. Maintains the integrity of the Private Practice Software by ensuring that all data is entered accurately
6. Maintains hard copy ad electronic filing systems to facilitate easy retrieval and proper record keeping in-keeping with company’s standards
7. Maintains confidentiality
WESTSHORE (in addition to duties 1 to 7)
8. Assists with the scheduling of doctors’ rosters in conjunction with the Lead Consultant
9. Raises all charges to facilitate collection of funds by accounting personnel
10. Visits the Ward, CCU and ICU to determine if there are any patients requiring appointments
11. Ensures that patient demographics are recorded on insurance forms and coordinates completion
12. Types ECHOs and TOEs and ensures that reports are completed
13. Maintains confidentiality
14. Performs any other relevant duties

4. Qualifications and Experience
• 5 CXC Level passes including Mathematics and English Language
• One (1) year experience in a similar position
• Computer literate

• Able to read and interpret written information
